Personas
Configurator/Developer
Developers work with the business owners to deliver the products and user experience that they want with InfoArchive. They create the search forms and results set layouts based on the business requirements, enabling end users to find and navigate the data.
Goals

- Create efficient search forms quickly, regardless of complexity
- Able to test her work before hand-off
- Empowered to satisfy analytics demands from business and data scientist
Requirements
- Intuitive set of composer tools for designing search forms and results set layout
- Ability to use jquery and other developer tools for complex needs
- Drag and drop to position form fields
- Validation rules, ability to encrypt data and content
- Ability to customize forms with built in templates and themes
- Ability to create search and result forms entirely within InfoArchive and using external tools if desired
Retention Manager
The Retention Manager is the manager in charge of compliance. They ensure proper data retention and disposal of assets in a fully compliant manner, regardless of the source repository or format of the data. Prepare for and respond to audits, discovery, and compliance requirements in an efficient and timely manner.
Goals
- Promptly purge all records approved for disposition, don’t inadvertently delete an item that should be retained!
- Respond quickly to new requests for holds and retention
- Prepare for and pass all compliance audits, internal and external
- Inform records owners about upcoming purge details to solicit approval
Requirements
- Automatic migration of existing retention policies and logic from legacy systems into InfoArchive
- Automatic classification of new records into active archiving apps
- Dashboard status of holds, active retentions and upcoming purges in InfoArchive
- Simple interface to manage purges, holds, and policies
- Ability to print, email data or export to 3rd party applications to comply with audit or legal requests
- Reports available to email disposition approvers
- Make it easy to search and find records to place holds and retention as appropriate
Administrator
System Administrators generally understands available IT infrastructure standards established by organization. They work with developers and provide them application infrastructure expertise. They guide information access setup e.g. privileged search screens, data visibility, allowed end user actions on the results.
Goals
- Established secure and IT compliant archival system in the quickest manner
- Grant and revoke authority and roles
- Expedite provisioning process for Connie’s efforts
Requirements
- Simpler, scalable deployment
- Fully documented steps to establish authentication and authorization setup
- Configuration ability to utilize in house encryption and storage , app server setup
- Easy to add or remove user privileges
Knowledge User
The knowledge user has to access several systems in their day to day work. They are quick and efficient getting information from the systems they use everyday, but there are some that are accessed infrequently and require help remembering what to do. The systems should be easy to use and help do their job, not make it harder.
Goals
- Know how to use all the systems she accesses, or be able to figure it out on their own.
- Find what she needs quickly without having to search through multiple applications
- Make it easy to view, print, export, or email the data she needs to complete her task
Requirements
- Don’t take away functionality or access to data that she needs
- Provide an Intuitive interface for her to use and remember
- Allow her access to transactions in the same or better manner than the original application allowed
